Booster Club Meeting Minutes for 12-4-13

Gary opened the meeting by thanking everyone for coming.

Joan read the minutes of the last Booster Club Meeting.


Gary went over the Agenda:  1. Proposed 2013-2014 budget


                                                * latest membership and sponsor contributions

                                                * possible 1Q2014 fund raising options

Don Wilkerson mentioned that Kruger Field house has been open for 7 years and there are no banners to acknowledge the State Championship or other accomplishments, playoffs.   He stated there is no Texas Flag as well.  It is the 25th year we won State and the team will be represented in Austin. 


Sandy Miller said that it is up to the school to provide a Texas flag.

 Gary agreed and  suggested we add this discussion for the next board meeting. He said that we will put it on the 'to do' list.



Coach Warner said that the teams were doing great.


Sharla went over the Budget.  Merchandise is an estimate, as is the banquet.  We are waiting on more receipts for concession stand for true budget.  In order to meet our goal, we will need another fundraiser, at least $2,300.00 to meet demands. 


Gary talked about not having budget to rent a place for the banquet.  Phil could cater a meal for about 9.00 a person.


We would not have to pay the overhead to rent a facility.  We need money for the "Hall of Fame"


We need to go after sponsors to donate money, not just food to the Booster Club, Merrill, Lynch, Chemical Company's too.  


Don said that the reason the activity fund was so high last year because of the things needed for locker room, new TV, couch. 


Dave talked about the XBOX being donated by Christus St. John. It is $500.00  The boys will sell tickets at school and games.  Needs to be approved by Mrs. Dixon.  The proposal is in her in box.  Coach Penders approved it.


Gary took a vote to approve the budget.   One cost is for the Courstide Cuties, $600.00.



Kimberly Holt spoke about the Courtside Cuties.   We are hoping to have enough girls so that all of our teams can be supported.   It depends on the amount of girls. If we get enough girls, each boy would be assigned a 'cutie', they would bring treats, decorate lockers, hang signs.      They can earn a patch but suggest that we don't do that the 'pilot' year.

 

They would have to contribute 2.00 toward the patch.  The girls would get into the games free if they wore their t-shirts. Kimberly said that Coach Penders approved that.   The girls would be invited to banquet but will have to pay for their own ticket.

 


Don asked about the scholarship for JP.  That was not paid last year, so it is the responsibility of this year's booster club to pay for the Scholarship.   Sharla will call UH to find out where to send the check for JP.


 Don talked about the $8,000.00 side panels on the scoreboard which are not being used.  It's just a matter of finding someone to work them. 


Coach Frye said that he and 2 other coaches are the only ones who know how to use them.  We can pay someone but no one on campus has been willing to do it.  It's 15.00 per person, per game.  If someone wants to volunteer to do it, Coach Frye would encourage that.


 


Gary took a vote on the Budget. 


Sharla made a motion to accept the budget.


Kimberly Holt seconded it.


Vote to pass budget.



Don complemented to Board Members.  He said that the board members were doing a terrific job.



Gary said it's a true team effort along with the parents.

 


Coach Frye talked about the tournaments coming up this weekend, Dec. 5-7.  All the teams will be at a tournament.


The Varsity tournament that we are hosting is a big one.  We need to make sure all stations are manned.


He talked about the time slots for concessions and hospitality room.  Gary and Stacy will take care of hospitality.


Every school has been assigned food items.  We can put a value on items and sell them or take the items out of the cooler.  Every school will provide food, receipts will be divided equally at the end of the tournament.



We talked about Brooklyn Phil and the pizza they are selling.  We made &1.00 per slice of pizza.  We are not sure it was that profitable but hard to tell because there was not a big turnout for the game Phil sold pizza.


Sharla stated that we could make more money selling Dominos or Double Daves, along with hot dogs.  Phil does not want us to sell these items because it's competition for his pizza.  It's our concession stand, we have the hot dogs we need to sell.  We are going to discuss this further.  We have a 'gentleman's agreement' for Phil to do the end of season banquet.  Gary made a large sign with the Sponsors on it to display for the tournament.  


Don Wilkerson wanted to make sure that we have all of our stations manned for the tournament.  Gary assured him that all will be covered.


 


Sharla stated that we are seeing the SAME people at the booster club meetings and we are afraid we are going to run them off because we are always asking them to volunteer.  Sharla said that this will be the last time we need so many volunteers at once.  The busy part of the season is over and we REALLY appreciate these folks coming back to the meetings and volunteering so much!  Coach Frye talked about what a great booster club program Clear Lake High School has. 


Gary said to check the website the day of games for any schedule changes.


Coach Warner talked about having a Freshman B and JV Light tournament the weekend after Christmas.  He asked for volunteers to do the books and clock.  Entry fee is 75.00.  Wants to make this an annual tournament.  It will be a "Clear Lake" Tournament.  We are doing it for our kids.  Sharla will need to add this tournament to the Budget.  Will we do a full concession stand or just sell candy and drinks.  We have to set the admission.  Maybe have a 2 day pass. 


It was discussed whether or not we get the 'gate money' when we have tournaments.  We got the money for the shootout in the fall because it was a fundraiser.  Coach Frye thought that if we paid for the security guard, custodial fee and rental fee, we keep the ticket money.  Gary tabled the discussion due to time limit.


Gary said to watch emails for info on the XBOX raffle.


Dave thanked Paula Lucas for coordinating the concession stand.  Carrie Robinette for the programs.   Dave Witt for getting the gift card for the free throw contest at the game the previous night.  Kimberly Holt for taking care of the Courtside Cuties.  


He talked about having the free throw contest to spice up the games and get more people to the games.  Having special events for the home games.  Campers from the summer camps, Flairs to perform. 



Coach Frye said to let him know if your child's name is misspelled or left off the program.



Gary encouraged further discussion for after the meeting.


Gary went over the list of restaurants who donated food or gift cards for our tournament.

Booster Club Meeting Minutes for 1-15-14

Clear Lake Basketball Booster Club Meeting - 1/15/14 (minutes by Joan Bolen)


 


Officers in attendance:  Gary Stenerson - President

Gary opened the meeting by greeting everyone.


 Coach Penders bragged on the basketball players, all 37 kids in 7th period basketball passed all their classes.


He talked about what a great group of basketball kids we have and they deserve the hard work and support we are giving them.


 Sharla updated us on the revised budget. 


The Courtside cuties pay dues which covered the cost of their t-shirts.


The booster club will pay for any decorations.


The players will pay for their playoff t-shirts.


 Dave Culbertson moved to approve the budget.


Tom Ostrowski seconded it.


Budget approved.



Dave Culberston said that as of this meeting, 160 XBOX raffle tickets had been sold.


We are asking the boys to sell 10 tickets each.  We will ask for help to sell tickets during lunch.


Raffle drawing will be Feb. 7 during half time of the Varsity game.


 Kimberly Holt talked about the letter to players regarding courtside cuties, set expectations for the players/cuties.


Thursdays are treat days so the boys don't eat too much sugar on game days.


The girls wear their shirts to school on 'home' game days.


 Marla spoke about the End of Season Banquet.  The tentative date is April 23, 2014.


She asked for 3 people to help her with the banquet committee.  Locations that were talked about are:  Gilruth, Gloria Dei, and the 9th Grade Commons.  We need to get gift cards donated for the cakes, balloons and flowers for the banquet.


We expect around 240 people.


 Dave said that the boys coming for 'Intermediate Night' will get in free and also get free hot dogs.


 Don Wilkerson will pay for the 3 on 3 'division winners' t-shirts.


 Coach Silver of the Hoyas organization talked about having a summer tournament for a fundraiser.  He asked the Booster Club about sponsoring it. There is a possibility of making $10,000.00 for the club.  It would bet the weekend of July 11.  We will need to look into gym space.


 Don Wilkerson would like to have a hospitality room for the State Championship players when the team will be honored in Austin the 2nd weekend in March during the State Tournament.  He asked about the Booster Club making a donation to the hospitality room.  Maybe present a plaque to the team.


 Gary ending the meeting by thanking everyone who came out.


 


 


Starting with the 2014-15 school year there will be 6 classifications: 1A through 6A. For the most part every school above 2099 enrollment just moves up from 5A to 6A. In District 24-6A, Friendswood will be added to the district.
