HHS BPA Meeting Minutes

Tuesday, March 15, 2016

7:30 pm

 


The HHS Band Parent Association meeting was held in the HHS Choir Room at 7:30 pm. The meeting was called to order by President, Lisa McCrary.

Lisa McCrary, President

Lisa opened the meeting saying that MPA went well, and the kids did great. She said she only had to give the stink eye a few times.

Andrew White, VP-Chaperones

Andrew is looking for a new VP Chaperones, and he is available to talk to anyone who might be interested.

Margaret Turner and Sherry Seals-Tonini, VP-Fundraising

Margaret announced that work on next year’s Media Guide for football is already starting. Michelle Giles with the football booster club will be working on it again. We can start selling ads on April 1st.  Remember your Publix cards over the summer. Also, remember VBC opportunities and brick sales. Items from the candy sale will be at school tomorrow for delivery. 

Susan Pendergrass, Treasurer

Susan presented the updated Budget as of February 29th, and it is printed on the back of the meeting agenda. Susan noted that we are over-budget for Instruction, but that is because we held the Winter Band Camp, and we planned for that with that cost to come out of another budget line item. We are also ready to put $6,000 into our money market account. There are remaining Band fees still due, with about $7,000 outstanding for Seniors. If a student is not in good standing on Band fees, they cannot go on the Italy trip.

Tracy asked for a motion to approve the BPA meeting minutes from February’s BPA meeting. Christi Robinson made a motion to approve the Minutes, which was seconded by Andrew White, and a vote was taken in favor of approving the Minutes into the official record. Tracy is still collecting Senior pictures. The Secretary position is also an open position for next year. For Media Coordinator, Hannah Lovik will also be going on the Italy trip and taking lots of pictures.

Christi Robinson, Communications

Christi said the website has been updated. There was a question about the Color Guard Interest Meeting, and Christi noted that the Meeting and Audition dates and times went out in the Panther Postings and is also listed on the HHS FaceBook parents page.  

Teri Estes, Credit Keeper

Teri could not be here this evening, but told Lisa she has nothing new.

Mary D’Arienzo, VBC Liaison

Mary said that the VBC season is starting to slow down with Havoc hockey wrapping up. All VBC work until May 1st will be credited to the student account as an incentive to get parents and students saving for the Philly trip. 

Lisa McCrary, Uniforms

Lisa has issued that last of the concert uniforms to the kids going on the Italy trip. Lisa will be handing out ties and cummerbunds to the boys at the Sunday rehearsal in little baggies. These should go right into their suitcases.  

Janet Kaylor, Hospitality

Janet could not be here tonight, but plans are being made for the Senior End of Year Banquet. We have two possible locations and dates. First, at First Baptist Church on May 5th (at a slightly lower cost), or at Mountain View Baptist Church on May 13th.  We are still working on a caterer.

Shelley Corbett, Concessions/Brick Sales

Lisa presented for Shelley, and another order is set to go in before the end of the year. Order forms are on the website. This position is also open for next year.

Ben Davis, Equipment

Brian Ragan is our new Equipment Chair. He said there are no new issues with the Band trucks. During the HHS Media Center construction, we were not able to park the Band trucks outside of the Band Room entrance, but we are back in that parking location now.


New Business:

All-State is coming up on April 13 to 16th in Mobile. Rooms have been reserved at the Battlehouse for the students. We have about 8 or 9 students going. Next year, All-State will be in Birmingham.

There are many positions on the BPA Board and Committees that are open for next year, and we need to form the Nominating Committee for the next year’s slate of Board Members and Committee Chairs. The Committee will work over the next month and present a Slate for approval of the BPA membership at the next general meeting. Sherry Seals-Tonini, Carolyn Drake and Louise Strutzenberg have volunteered to serve on the Nominating Committee.

HHS BPA Meeting Minutes

The HHS Band Parent Association meeting was held in the HHS Band Room at 7:30 pm. The meeting was called to order by President, Lisa McCrary.

Lisa McCrary, President

Lisa opened the meeting asking for the Minutes from the last BPA meeting on January 19, 2016 to be approved and voted into the record. Roxanne Carroll made a motion to approve the Minutes, which was seconded by another band parent in the front row, and a vote was taken in favor of approving the Minutes into the official record.

Lisa continued with an announcement that District Honor Band went very well and the food was great, with thanks to Janet Kaylor and to Ben Davis for preparing a smoked turkey and pulled pork. One of the specially brought in clinicians from Auburn had a family emergency during the event, and Dr. Spencer and the Grissom Director stepped in to conduct for us. We have unofficially been asked to host District Honor Band again next year.

Andrew White, VP-Chaperones

We have one more event with MPA at Austin high school in Decatur. We will need a total of 12 chaperones for the bus trip to MPA. He will put the SignUp Genius for volunteers. Due to the school bus route schedules, we will have to leave HHS at 1:00 pm. Chaperones need to be ready by 12:45 pm. We have to take both bands at the same time, with Symphonic Band playing at 5:00 and Wind Ensemble playing at 6:30 pm. They are working something out to cover dinner, maybe pizza and snacks. The MPA trip is an out of county trip, and due to school rules, the students are not allowed to drive themselves. This is Andrew’s last year as VP Chaperones, and he is looking for a replacement. It is an easy and fun job. Lisa reminded parents of boys in the Band that they need a tux shirt for the Concert Band uniforms. You can get one at Hobby Lobby, and use the online coupon.

Margaret Turner and Sherry Seals-Tonini, VP-Fundraising

Margaret announced that so far $1,000 has been raised at the VBC hockey games. The Mickey Booker fundraiser selling chocolates and other items was held for certain class periods, and the orders will be placed on Thursday. 6th period students will do their sales this Thursday. The Band received a Logan’s Roadhouse grant (grant banner on display in the Band Room) for $4,020, and the grant has been used to purchase new outdoor band equipment. Three of our band students were on the WHNT news at Logan’s for the check presentation. 

Susan Pendergrass, Treasurer

Susan announced that the updated Budget as of January 31st is on the back of the meeting agenda. Susan added a budget line item for bus costs for the Italy trip as a place holder in the budget. Susan asked for a motion to approve the budget, and received a first from a band parent in the back of the room and then several parents together gave a quick second. The BPA voted in favor of approving the budget. The Treasurer is also an open position for next year, and Susan is also looking for a replacement.

Tracy noted that the meeting sign-in sheet is by the Band Room entrance. Tracy announced the need for a vote during tonight’s BPA meeting on the changes to the ByLaws, with an explanation that last year the BPA did a comprehensive update of the ByLaws. Then, this year, due to the slight increase in Band fees, we needed to update the ByLaws for the section covering Service Credits again. Tracy went over the changes on Service Credits that were presented back in the January BPA meeting. She asked for a motion to approve the changes to the ByLaws, with Mary D’Arienzo making the first motion and Becky Kelso making the second, the BPA voted in favor of the ByLaws changes. Tracy announced that she is still collecting Senior pictures. The Secretary position is also an open position for next year.

Christi Robinson, Communications

Lisa presented for Christi, who has injured her ankle and could not attend. The Communications position is also open for next year.

Teri Estes, Credit Keeper

Teri could not be here this evening.

Lisa McCrary, Uniforms

Lisa is getting the new dresses to the Wind Ensemble girls, and asking for the old dresses back. The older dresses will go to the Symphonic Band girls. Liz Boykin from the HCMS band program has volunteered to do Uniforms next year.

Janet Kaylor, Hospitality

Janet thanked all the volunteers for District Honor Band. For the Senior End of Year Banquet, we are looking for a large location to hold our dinner. The date may be May 12th or 13th.

Shelley Corbett, Concessions/Brick Sales

Lisa presented for Shelley, and her position is open for next year, too. The Commemorative Bricks are placed around the flag pole, and they sell for $100 for the large brick and $50 for a small brick. The sales are open to anyone, and it is a fundraiser for the Band. An announcement went out in the Panther Postings, and Shelley is getting responses back. Concessions at Milton Frank are about done for the year, and we made $4,700 this year, which is about double what we made last year. The Concessions opportunities sometimes come up last minute, so we did well this year.

Ben Davis, Equipment

After 14 years with the Band, Ben is retiring and finishing up his last year with the Band, and is getting ready to turn in his keys. The Band trucks are owned by HCS, but the maintenance and gas are paid by the BPA. Brain Ragan is our new Equipment manager for next year, but we need another driver. And, you do not need a class C driver’s license. Ben also did a Boston butt and a smoked turkey for District Honor Band, and the extra food was donated to an HCMS Band event.

Stuart Ivey, HHS Band Director

Lisa noted for Mr. Ivey that the buses for MPA at Austin HS in Decatur have to leave HHS by 1:00 pm. Students can bring a packed dinner or can buy something. We possibly have 8 students going to All-State from April 13th to the 16th, with solos performing on the 1st night and the other two days are the rehearsals. For the End of Year Banquet, we are looking for an off campus location or we will dress up the cafeteria.

Mr. Ivey quickly went through the list of activities that he has been focusing on with the students. A lot of details were provided at the Italy trip meeting earlier today, before the BPA meeting. He sent over District Honor Band, the MPA schedule, the Italy meeting, and All-State. The fundraiser money for the Mickey Booker chocolates orders is due now. The deposit for the Philadelphia trip is due March 1st. The Band will get to be on national tv. The trip is optional, but we have to have at least 100 performers to qualify for the parade. He will be going to the middle school to make the announcements to upcoming freshmen.

Mary D’Arienzo, VBC Liaison

Mary was able to organize another Responsible Vendor class for wristbanding.  Wristbanding is exclusive to the HHS Band, but she continues to be short on wristbanders at the VBC. Concessions is ongoing, and the students can also participate. This weekend is a wrestling tournament and next weekend is a volleyball tournament. There is lots of money to be made. Since summer, the Band has earned $2,000 and students have earned about $6,000. She wants to encourage more people to sign up. Other schools are starting to take up the concessions opportunities, and they often come in big groups. Lisa noted that Mary has been diligently working with the HHS Band, even though she no longer has a student in the Band.

 

Old Business:

We are still looking for a location for the End of Year Banquet. Many places that have been considered are not able to accommodate about 300 people. The date would possibly be May 13th.

New Business:

There are many positions on the BPA Board and Committees that are open for next year, and we invite anyone who is interested to come talk to us.

At next month’s meeting, we need to form the Nominating Committee for the next year’s slate of Board Members and Committee Chairs.

The HHS Band Parent Association meeting was held in the HHS Band Room at 7:30 pm. The meeting was called to order by President, Lisa McCrary.

 

Lisa McCrary, President

Lisa McCrary welcomed all the HHS BPA parents to the BPA evening meeting. She offered special thanks to all those who volunteered and helped out at the evening Christmas Parade on December 17th downtown. The kids had a great time with all the lights and wearing Santa hats (instead of their band uniform hats).

Stuart Ivey, HHS Band Director

Mr. Ivey thanked the BPA parents for coming to the meeting, and said he is open to ideas for how to encourage better attendance at the meetings. A parent asked if it was possible to hold the meeting on another day, but for now the third Tuesday is set in the ByLaws. Mr. Ivey missed the Christmas Parade, because he was attending a band director conference in Chicago. He will cover more about the Italy trip later this evening during the trip meeting after the BPA meeting.

 

Lisa explained the Robert’s Rules of Order process for approving the meeting minutes, and reminded everyone that the Minutes for each meeting are posted on the website, She asked for a motion to approve the Meeting Minutes from the November 17th meeting, which was our last meeting before the Winter Concert in December. A parent sitting in the front row made a Motion to approve the meeting minutes, which was followed by several others responding with a 2nd motion, and a vote was taken in favor of approving the Minutes into the official record.

 

 

 

Andrew White, VP-Chaperones

Our chaperones at the parade have been great, and we appreciate all of the help. The next event is the Winter Band Camp coming up on January 28 and 29. Andrew needs 12 chaperones to help with MPA and the bus trip to Austin HS in Decatur. Please sign up online at SignUp Genius.

 

Margaret Turner and Sherry Seals-Tonini, VP-Fundraising

Margaret and Sherry announced the Holiday Marketplace raised about $2,000.  The next fundraiser opportunity is the Havoc hockey game on January 30th. It is a required event for the Band, and they students will be playing the National Anthem. It is also jersey night at the game.  The students will have the opportunity to sell tickets to the game for $10. If the Band sells 200 tickets, then the Band can earn $5 back ($3 to the Band and $2 to the student’s account). If the Band sells less than 200, then the Band can earn $3 back. Tickets have been handed out to the students and must be turned back in by January 28th. The percussion students must be at the Arena by 6 pm that evening for the game, and all other Band students must be there by 6:30 pm. Students can also work concessions at the VBC. Students and chaperones get in free to the games. Andrew still has 3 spaces open for chaperones. Checks should be made out to the HHS BPA for the tickets. There will also be a pizza and drink meal deal that students can purchase for $5. Mary is checking to see if they can add on a chicken meal deal, too.   

 

Susan Pendergrass, Treasurer

Lisa presented for Susan, who provided the updated Budget for the HHS BPA as of the December 31st income and expenses. Lisa asked parents to check their Charms accounts for any balances due on their band fees. Susan also sends out monthly emails for each student’s account. If any student needs extra help or additional fundraisers, please see Mr. Ivey. Lisa warned parents that the school will withhold transcripts if any sport or band fees are not paid, so be sure to get fees taken care of early. There are a few scholarships available for students with special needs or circumstances. Lisa asked for a motion to approve the updated Budget, and a Band parent made a motion to approve the Budget, which was seconded by another BPA parent in the back row, and with all in favor the updated Budget was approved.

A meeting sign-in sheet was placed at the Band room entrance. Please sign-in after the meeting, if you missed the sign-in sheet. The meeting Minutes will be posted each month on the Band website. Tracy presented proposed ByLaws changes relating to Service Credits. At this past September’s BPA meeting, the Board and the BPA membership voted to approve changes to the set number limit of Service Credits to be earned by Board members and Committee Chairs. It has been the intent of the BPA that Board members and Committee Chairs earn ½ of their band fees for their volunteer work. This year, the band fees increased slightly, and the set number of 35 credits stated in the ByLaws no longer accurately fit that calculation. So, this past September, the BPA voted to change the ByLaws, but instead of simply increasing the Service Credit limit from 35 to 40, it was more efficient to also consider any possible future changes in the band fees. So, instead of a set number, a definition of “one-half of the regular returning band student annual fee per year” was voted and approved for the ByLaws. While finalizing the new copy of the ByLaws with the new changes, the Board noticed that a couple of additional changes were needed. Since the purpose of the voted change was to allow for possible future changes in the band fees, it is now proposed that the Schedule of Service Credits that currently appears within the ByLaws be moved to an Exhibit to the ByLaws with the statement that this  “Exhibit may be amended from time to time by the Board in writing, as needed under the discretion of the HHS BPA Board”. This will help to avoid a long process to amend the ByLaws, for only a numerical change to the Schedule of Service Credits. The second change is to correct the calculation of Service Credits that can be earned through work at the VBC. The current wording is that there is a “75/25 contribution percentage split between the volunteer’s CHARMS account and the BPA general fund”. Since the VBC currently pays according to a set dollar amount, this calculation is no longer accurate and could also change in the future. So, to keep the intent of the calculation, but allow for the current correction and the possibility of future VBC changes, the word “approximately” has been added to the front of the “75/25 contribution”. This change will also appear in the proposed Exhibit for Service Credits. At this BPA meeting, we are presenting and explaining the needed changes, and a vote on the needed changes will be made at the next BPA meeting in February. A copy of the redline changes is available for review at tonight’s BPA meeting and will also be posted on the Band website. Tracy also noted that the ByLaws state that no person can serve more than two consecutive terms in any one Board position, and that this is her second term, so the BPA will be looking for a new Secretary for next year.

 

Mr. Ivey noted that Tracy and the Board have been researching and assessing the BPA’s need for insurance coverage and considering the possibility of becoming a formal 501(c)(3).  Mr. Ivey would like to form a 3 person committee of BPA parents who are familiar with either non-profits or insurance. He is considering offering Service Credits for this committee. Please contact Tracy at TLovik@hotmail.com, if you can help the BPA. We are working hard to protect the Band now and into the future.

 

Lisa reminded Seniors that they need to turn in their Senior picture and a baby picture to Tracy as soon as possible, so that we can begin work on the Senior video for the End of Year Banquet presentation.

 

Christi Robinson, Communications

Christi continues to send the weekly band email news. Her position will also be open for a new volunteer next year. It is a good job for a working parent and can be done off the school campus or at home. She sends the weekly email and keeps up the website. You will need to be able to check your band email frequently to keep up with questions coming in or messages from Mr. Ivey.

Lisa presented for Teri, and if anyone has any questions about their Service Credits, please contact Teri.

 

Media Coordinator

Hannah Lovik has been acting as our Media Coordinator this year, and has been posting pictures of our events to FaceBook. She will be working on the end of year CD pictures for Seniors and the End of Year Banquet and also the Italy trip.

 

Mary D’Arienzo, VBC Liaison

Mary has been struggling to get people to sign up for wristbanding at the VBC. There are unlimited credits to be made, and she is now seeing other schools getting involved at the VBC, including the Sparkman softball team.  Concessions are doing well, and kids are participating. Students need to be 16 years old to work, and a portion of the credits go to the Band and to the student’s account. She could push for another Responsible Vendor Class, if there are enough people interested in signing up. Service Credits will roll over to the next year. But, there is a caution for Seniors, there can be no cash checks back to students that graduate. Lisa encouraged others to participate, because she and her son Walker have gone a long way toward paying for their Italy trip through work at the VBC. There is the idea of opening up the wristbanding to the HHS choir to help Mary fill the positions. Helpers get into the events free after working their shift. There have been some great concerts and events, including Boston, Miranda Lambert, and Chicago.

 

Lisa McCrary, Uniforms

We now have a volunteer for the Uniforms replacement – Liz Boykin will be working with Lisa for training. Liz has an incoming freshman. Please dry clean and turn in your uniforms in the dry cleaning plastic bag. Turn in the bib, jacket, hat, black hanger, and the garment bag. If you have a student in Wind Ensemble, you may hang onto your garment bag for the concert uniform.  

 

Janet Kaylor, Hospitality

Janet will need help with hosting the District Honor Band on February 12th and 13th. She will be traveling with the robotics team that weekend. She needs volunteers to set up and bring in snacks and water bottles to the Hospitality room and the Band room. There will also be a dinner on Saturday. She and Andrew will put up a SignUp Genuis page for volunteers, baked goods and snack contributions.

 

For the End of the Year Banquet, we have usually used the school cafeteria in the past. This year, we are considering an off-campus venue. We need suggestions for a large location that can handle about 300 people. Please send in any suggestions.

 

Shelley Corbett, Concessions/Brick Sales

Shelley will be taking one more order for the year for the Commemorative Brick sales. Order forms are available at the meeting and on the Band website. This is a Band fundraiser for students. Costs are $50 for a small brick and $100 for a large brick. The bricks are engraved and placed around the center school pavilion around the flag pole.  Our Band has been doing this for many years, and most of the bricks are memorials to past band students and parents. Concessions at Milton Frank are done for the season, and many thanks to our dedicated volunteers.

 

Ben Davis, Equipment

Our new Equipment Chair for next year will be Brian Ragan, and he is already participating and helping Ben and our Band. Currently, the Band trucks have been relocated to the Annex parking lots, due to the construction of the new library media center. Also, the leak in Band truck has been fixed.

 

Old Business:

End of Year Banquet planning is under way, and more information will be coming.

 

New Business:

Winter Band Camp is coming up on January 28th and 29th, to help prepare for MPA. The schedule is Thursday 3:30 to 9:00 pm, and Friday 8:00 am to 12:15 pm, with a lunch break, then 1:30 pm to 3:30 pm. All State Auditions are later that same weekend at Sparkman HS. We will need volunteers and chaperones.

 

MPA is coming up on March 8th at Austin HS in Decatur. Mr. Ivey is planning for a 2-trip event with the Symphonic Band performing in the morning session and the Wind Ensemble Band performing in the afternoon session. MPA (the Music Performance Assessment) is conducted in front of 4 judges. Last year, the event was canceled due to snow conditions. Transportation to the MPA times will be on school buses. Mr. Ivey is also considering rearranging the MPA plaques and other banners in the Band Room.

 

All-State Band is scheduled for Mobile this year. In the past, the Band has paid for the students’ hotel accommodations, and the students pay for their travel. Last year, we had 9 students go to All-State. Javi has already been recognized for All-State on the string bass. We are considering using available offered beach homes to accommodate All-State participants in the area of Dolphin Island. It can save money for the Band and be a special beach trip for the participants. The only concern is that it is 45 minutes away from downtown. Please be sure to let Mr. Ivey know what would be preferred. Next year, All-State will be held in Montgomery, and in 2018 it is likely to be in Huntsville.

The HHS Band Parent Association meeting was held in the HHS Band Room at 7:30 pm. The meeting was called to order by Vice-President, Andrew White.

Lisa McCrary is unexpectedly out-of-town, and Andrew White welcomed all the HHS BPA parents to the BPA evening meeting. Special thanks Ann Fulmer who organized the Senior Night event. The next upcoming event is on December 17th for the downtown Christmas Parade.

Stuart Ivey, HHS Band Director

Mr. Ivey announced the auditions start this week and pointed out that there are less than 10 more days of school before the Winter Concert on December 10th. There was a lengthy discussion with questions about the upcoming HHS Meeting on this Thursday on the subject of changes to Class Block Schedule. The risk is that a block schedule could completely change the composition of the Band. Mr. Ivey surveyed the students and found that he would likely lose some student participation, with some students opting instead to add more elective or AP courses. Research shows that James Clemons HS, Buckhorn HS and Bob Jones HS are on block schedule now. It looks as though the actual determination is whether to have an A-B Block Schedule or an Alternating Block Schedule. There is some gain in instruction time and reduces time lost for students walking between classes. There is a possibility that the Color Guard could get a semester class. A positive might be that there could be less time scheduled for after school practices. The Thursday HHS meeting starts at 6:00 pm.

For news on the Italy trip, please go to the travel company website and enter your passport info. The payment of 80% of the trip cost in due December 2nd. The initial 10% was paid upon registration. The last 10% will be due later. Please call or go online to check your financials with the travel company. There have been reported some issues with the company mixing up accounts. Contact Susan Pendergrass if you need a check issued out of your Charms account to send to the travel company. She does not have any access to each traveler’s company account or any info from World Strides.   

Andrew White, VP-Chaperones

Our chaperones have been outstanding. The next event is the Christmas parade on December 17th. Andrew needs 7 chaperones for the parade. Please sign up online at SignUp Genius. Also, note the change from past Christmas parades that this event is an evening parade.

Margaret Turner and Sherry Seals-Tonini, VP-Fundraising

Margaret and Sherry announced the upcoming Winter Concert and Holiday Marketplace to be held on December 10th.  The vendors will be available from 5 pm to 7 pm, and the Concert starts at 7 pm.  There are 1 or 2 vendor tables still open. Margaret needs parent volunteers for setup and tear down help. We also need more donations for the Silent Auction. Sherry is organizing the Silent Auction. Band students will also be playing in the lobby during the Holiday Marketplace.

Susan Pendergrass, Treasurer

Susan presented the updated Budget for the HHS BPA as of the October 31st income and expenses. Susan opened the floor for any questions. There being none, she asked for a motion to approve the updated Budget. Christi Robinson made a motion to approve the Budget, which was seconded by a BPA parent Brian Ragan, and with all in favor the updated Budget was approved.

Tracy Lovik, Secretary

Christi Robinson, Communications

Christi continues to send the weekly (and sometimes more often) band email news. A new communication group will be formed to start sending the emails specific to the Italy trip.

Teri Estest, Credit Keeper

Teri announced that no BPA members are yet near the service credit limits, Please continue to feel free to volunteer for BPA events.

Mary D’Arienzo, VBC Liaison

Mary had 5 new people take the Responsible Vendor class, which is required by the VBC. Service credits for the Band have a limit, but VBC work is unlimited. 

Lisa McCrary, Uniforms

We now have a volunteer for the Uniforms replacement – Liz Boykin will be working with Lisa for training.

Janet Kaylor, Hospitality

Andrew presented for Janet, who will be coordinating refreshments for the Winter Concert, after the Holiday Market Place and Silent Auction.

Shelley Corbett, Concessions/Brick Sales

Andrew presented for Shelley, who will be available to take Commemorative Brick sale orders. Order forms are available at the meeting and on the Band website.

Ben Davis, Equipment

Ben had to step away early, and the new Equipment Chair for next year, Brian Ragan, is here with us tonight. We are still looking for a second truck driver.


Old Business:

Margaret Turner handed out Publix cards, which are now available after a re-ordered supply.


New Business:

Mr. Ivey has the new Spring Calendar available. These have been sent home with students, and are also attached to the weekly news emails.

The next Band event will be the Winter Concert & Holiday Marketplace on December 10, 2015.

HHS BPA Meeting Minutes

The HHS Band Parent Association meeting was held in the HHS Band Room at 7:30 pm. The meeting was called to order by President, Lisa McCrary.

 

Lisa McCrary, President

Lisa welcomed all the HHS BPA parents to the second official BPA meeting of the school year. Special thanks to the volunteers at the first full uniform football game. And, a reminder that Lisa still needs a replacement Uniforms Chair person.

Lisa McCrary, President

Questions came up about how students are to handle uniform pieces at the football games. Lisa explained that each student needs to have a plastic grocery bag folded and tucked into their hat. If the students need to take off their uniform jacket, it must go into the plastic bag to avoid getting stained or marked up. Gloves must be pinned together with a safety pin and slipped into the webbing pocket in the hat. The cost for replacement gloves is $3. The students need to look uniform. Girls need to have their hair either tied up on top of the head or braided and tucked into the jacket, with no hair touching the collar. How girls wear their hair determines the size of the hat. Hats must be worn tilted forward, so that the plume on top stands straight. If the hat gets tilted back, the plume goes down and looks bad. Drum Majors are a little different.

 

Stuart Ivey, HHS Band Director

Mr. Ivey greeted the Band parents, and thanked the volunteers and chaperones. Please encourage others to continue coming to the Band meetings, because there is so much important information. The next 4 football games are away games, including over Fall Break. The game during Fall Break will be a volunteer band. There are two more football games after the next Band Parent Association meeting. Please watch the schedule this month.

 

On September 28th, we will have a Wind Ensemble Concert at 7 pm. The Ensemble will perform 8 pieces of music. A trombonist wrote one of the pieces and a student teacher will be conducting one of pieces.

 

The overnight trip to the upcoming marching band competition in Rome, GA and Six Flags is coming together for October 24th and 25th. Mr. Ivey expects to have an extra practice on October 23rd before the competition. Simply Sheets fundraising orders are due tonight. More to come on the Italy trip. We will be having two meetings specific for the trip coming up. Please register as soon as possible, so we can get the final count. Remember to get your Passports. The process can take up to 4 to 6 weeks. If you already have your passport, check your expiration date. The trip flight will be direct from Atlanta to Rome.

 

A Freshman parent asked a question regarding transportation to the games and events. Parents and students will need to get their own transportation to the Sparkman game at A&M, and this Friday is a ½ school day. Remember to bring $5 for pizza and Gatorade at the Sparkman game. It is 8th Grade Night and we rehearse at 5:30, march in at 6:30 and perform at half time. We can use the school buses when it does not conflict with school routes, for example we might leave on buses for Decatur locations around 5:15 pm. We take charter buses to games that are further away.

 

Andrew White, VP-Chaperones

Sign ups for chaperones is going well on SignUp Genius online. We need chaperones for home and away football games. Chaperones earn Service Credits that can be applied to their student’s Charms account for Band Fees. All students need to turn in the Medical Consent form and the Out of County Trip forms as soon as possible before students can be allowed on any bus trips. The Out of County Trip form does NOT have to be notarized this year. Forms are available at the meeting and on the Band’s website. If you can’t remember if you turned in the forms already, please log into Charms and check the forms section. If you have any problems, please email Andrew. The forms book goes on the trips, and new forms are needed each year.

 

Margaret Turner and Sherry Seals-Tonini, VP-Fundraising

Margaret and Sherry discussed the next fundraising opportunities. Remember to use your Publix cards for the Band. Margaret searched online and found that the top three recipients in Alabama were Randolph school, Hampton Cove Elementary, and HHS PTSA. Simply Sheet orders are due tonight. There are also a last few Coupon Book deliveries that need to be picked up by students. The next big fundraiser will be the Holiday Marketplace and Silent Auction at the time of the Winter Concert. They might try to fit in another couple of fundraisers before the end of the year.

 

Susan Pendergrass, Treasurer

Please pay your dues. Financial statements have been emailed out. Susan presented the to date Budget for the HHS BPA for the 2015-2016 year showing the recent postings of income and expenses. Susan made a motion to vote on the updated Budget, which was seconded by a BPA parent, and all in favor approved the updated Budget. Susan, Lisa and Margaret have been working with the bank to update the Board members authorized to access the BPA checking account. For ease of use and expense tracking, Susan made a motion to authorize Susan, Lisa and Margaret to have debit cards for use on the BPA checking account. Andrew White seconded the motion, and by a showing of hands all those in favor the BPA approved the motion. There was a final motion made by Mr. Ivey to change the ByLaws increasing service credits for Board members and Chairmen from a set number of “35” service credits to a definition of “one-half of the regular returning band student annual fee”. The dues for this year went up slightly, and the intent was for Board members and Committee Chairs to receive ½ of the annual band dues, which does not add up after the Band fee increase. This change will better serve the current and any future changes. Because it is a change to the BPA ByLaws, it requires a vote of the membership. Mr. Ivey made the motion, which was seconded by several BPA parents in unison, and by a showing of hands of all in favor, the motion passed and was approved.

Christi Robinson, Communications

Christi continues to send the weekly (and sometimes more often) band email news. Please note on any email replies to the weekly email only go to her email address. It is faster for you to contact another person directly, if you are responding to information in the news emails. Be sure to read all the way through each news email for important information.

 

Hannah Lovik, Media Coordinator

Hannah has volunteered to be our new Media Coordinator. She will be taking pictures at the football games and events for the Band facebook page and website. If you would like your own photos included and shared on the facebook page, feel free to email pictures to Tracy Lovik at TLovik@hotmail.com . If you do not want your student photographed, please notify Lisa or Tracy immediately, and we can arrange to blur out any pictures that you do not want on display. A BPA parent had a question about the individual band pictures that were taken during band camp over the summer. Lisa explained that those pictures can still be ordered, and pictures packets went home with students during sectional. Retakes will be available in October, and you can arrange to order more pictures at that time, too.

 

Mary D’Arienzo, VBC Liaison

Mary is still looking for more people willing to do wristbanding at the VBC.  The Havoc season is starting, and there will be concerts, Disney on Ice and the circus coming up. Concessions are going well, and students are getting involved. Students 16 years old can work concessions at the VBC, and no training is required for concessions. For wristbanding, a 2 hour Responsible Venor class is required by the VBC. When you sign up for an event, Mary will send out an email with instructions on times and where to park. Service credits for the Band have a limit, but VBC work is unlimited. If you want band and VBC emails to go directly to the students, too, please log in to Charms and add the student’s email address. There is a place to add multiple email addresses.

 

Lisa McCrary, Uniforms

Lisa is looking for a reliable Uniforms replacement that can work with her this year for training. Lisa will start issuing Concert Uniforms next week, and determining coat and pant sizes. Please let her know if you need replacement shoes. Please get your uniforms dry cleaned at Wilson’s. We will have two Parades in November and December. After that, students can get the uniform dry cleaned and return them back to Lisa in the Band Room. We will not be wearing the uniforms at District Honor Band (we usually do wear them for MPA).

 

Janet Kaylor, Hospitality

Lisa presented for Janet, and the she will be coordinating a number of events for the Band, including District Honor Band (we will not be hosting MPA this year), the Holiday Market Place and Silent Auction, and the End of the Year Banquet. For the Wind Ensemble Concert in September, we will likely do punch and cookies.

 

Shelley Corbett, Concessions/Brick Sales

Lisa presented for Shelley, who will be available to take Commemorative Brick sale orders. Order forms are available at the meeting and on the Band website. There is a sign-up sheet for concessions opportunities at the football games. We need 16 people for the Hazel Green game during Fall Break. If we do not have 16 volunteers, we will have to pass on the opportunity. Concession volunteers get free parking, free admission and service credits. It is a fundraiser opportunity for the Band, and helps to cover the costs of the buses.

 

Ben Davis, Equipment

Ben handles the Band trucks and the band-owned instruments. He has served for 14 years, and this is his last year and he is looking for a replacement to train. He also needs another truck driver, and you do not need a CDL. The trucks belong to HCS, but the Band pays for the maintenance. Ben would like to get new decals for the trucks, which will also need a coat of paste wax to protect the decals and extend their life. We are looking into the cost and the style for the decal replacement.

 

Senior Night, Ann Fulmer

The Senior Night is currently scheduled for the last football home game of the regular season on October 29th. Ann’s grandson is a Sophmore. The Seniors get to go out on the field to be recognized with their parents. They will receive a monogrammed blanket from the Band.
